How to Add a New Vendor

If you own a business you understand the important role vendors play in your existence.  With out a vendor most businesses wouldn't have anything to sell.  Even the best fabricator needs a vendor for something he can't create or for the materials he will be creating.  With JBitPro ERP you don't need to setup a vendor to sell items.  We do encourage setting them up, since that is the doorway to tracking your spending on specific items and materials.

Who is The Muffin Man?

Let's imagine that we are running a bakery.  You will need things like flour, sugar, salt, butter (lots and lots of butter), fresh fruits, dried fruits, baking soda, and well, you get the point.  To get those items you will need someone reliable, prompt, and fair in their dealings.  If you are to succeed then this supplier will need to meet your high standards for the products and services they provide you, which in turn makes your products high quality.  If we are being honest, no one wants to eat at a bakery where the muffins are dry and flavorless.

So you found the perfect partner for your supplies, and have started a unique relationship with them.  They are now one of your vendors!  What's next?

Organizing Vendors

If you are flying solo, that is without any ERP system, your next step is to put the Vendor's phone number somewhere safe.  And to keep his catalog handy, and rely on your memory and notes to make sure you are consistently buying the materials that make your muffins the talk of your locale.

If you are using an ERP, such as JBitPro, you will add the vendor information to the system, and set this vendor as preferred for specific items that you will be purchasing from him.  This allows you to track things like:
  • How much is left?
  • How much does it cost?
  • How much did I spend on it last month?
  • Am I making more than I am spending?
Those are all very important questions that you as a business can ask.  Those answers will provide a picture of your business health, and where you need to make some changes to become profitable.  Spending too much on butter last month?  Might be time to shop some other vendors, or negotiate a better deal with the current one.

Put the Vendor in the Box...

Now it's time to setup a Vendor in JBitPro ERP:
  1. Login to your JBitPro account
  2. Click on the Vendor tab
  3. Select Vendor Management
  4. Click New
  5. Add the Required information for the new vendor
    • Vendor Name
    • Address 1
    • City
    • State
    • Zip
    • Phone
  6. Click Create
Once you have added a vendor, you should also add your contact that works at this vendor.

To add a new Vendor Contact:
  1. Login to your JBitPro account
  2. Click on the Vendor tab (or click the blue "back" button if you are on the vendor screen)
  3. Click Vendor Contacts
  4. Click New
  5. Add the Required information for the new contact
    • Choose the Vendor for this contact
    • First Name
    • Last Name
    • Phone Number
    • Extension
  6. Click Create
Now your ready to start tracking vendors!

Conclusion

Vendors are very important to your success and should be held to the high standards that your customers hold you to.  This means tracking your spending and the quality of the products they provide.  To do this we need to use JBitPro ERP and make sure all the information is entered for keeping in touch with and reporting on the pricing.
